PRODUCT CASE STUDY — 04

SwimPilot

An all-in-one swimming pool management platform — from front desk check-ins to finance.

SwimPilot gives pools, aquatic centres and swim schools one dashboard for memberships, timed pool sessions, live occupancy, payments, lessons and member engagement — plus the daily operational details like expiry countdowns and forgotten-check-in cleanup.

A pool's hardest hour is the front desk at 6 AM. SwimPilot is designed for that moment — check-ins, live occupancy and renewals in seconds.

The owner dashboard — occupancy, revenue and member status at a glance

01 — THE STARTING CASE

Pool operations are run from a register at the front desk.

Swimmers check in on paper, nobody tracks how long anyone has been in the water, memberships expire unnoticed, and month-end revenue is reconstructed from cash box notes and memory.

01

Check-ins have no memory

Paper registers can't answer who is in the pool right now, how long they've been swimming, or who forgot to check out.

02

Renewals are discovered late

Expiring memberships sit invisibly until a swimmer is turned away — the worst possible moment to ask for a renewal.

03

Lessons and money drift apart

Coaching batches, trainer allocation and payments live in separate systems, so attendance and revenue never quite reconcile.

02 — WHY THIS PRODUCT NEEDS TO EXIST

The front desk is the product.

Pools have a rhythm gyms don't: sessions are timed, capacity is physical, and the front desk makes dozens of micro-decisions every hour. Software for pools has to make those seconds-fast, not add admin.

SwimPilot's core is the check-in moment: every entry opens a timed session with an expected exit, a live "in the pool" board shows occupancy with countdowns, forgotten sessions auto-close overnight, and membership expiry is a sortable countdown — so renewals happen before the swimmer is turned away.

SECONDS MATTER

Check-in is one search and one tap — the board, timers and dues are visible without leaving the desk.

THE POOL IS PHYSICAL

Occupancy, slots and expiry are real constraints the product models, not report afterthoughts.

NEVER BLOCK, ALWAYS INFORM

Timers inform the desk instead of gatekeeping swimmers — software assists judgement, it doesn't replace it.

03 — WHAT WE BUILT

The full swim operation, from deck to books.

SwimPilot covers the operational and financial loop of a pool business on one multi-tenant platform shared across branches and roles.

01

Timed sessions & Pool Deck

Every check-in opens a slot with a live countdown; the Pool Deck board shows who's in the water, who's overdue, and auto-closes forgotten sessions overnight.

02

Memberships & renewals

Passes with expiry countdowns sorted soonest-first, day passes labelled honestly, and renewals surfaced before they lapse.

03

Finance & retail

Payments, invoices, expenses, point of sale, products and inventory — the money side reconciled in the same system as attendance.

04

Growth & retention

Leads, campaigns, coaching batches, at-risk member flags and WhatsApp/SMS/email automations to keep the pool full.

05 — PRODUCT PRINCIPLES

The rules that keep the platform coherent as it grows.

•

Built for 6 AM

Every front-desk flow is designed for speed, big touch targets and zero training.

•

Live means live

Occupancy, countdowns and expiry counts reflect the pool's actual state, auto-refreshing without reloads.

•

Money stays reconciled

Sessions, passes and payments share one model so revenue reports are trusted, not reconstructed.

•

Growth is a workflow

Leads, campaigns and at-risk flags turn retention into daily operations instead of year-end surprises.

A vertical SaaS taken from domain insight to working product.

SwimPilot demonstrates how the AryaStack platform architecture adapts to a brand-new vertical: pool-specific workflows (timed sessions, live boards, expiry) modelled in a tested domain layer and shipped on production infrastructure.

STRATEGY

Started from the front desk's real hour-by-hour reality and built the product around the check-in moment.

DESIGN

Mobile-first operational surfaces — card stacks on phones, dense boards on desktops, countdowns everywhere.

ENGINEERING

Live session state, scheduled auto-close jobs and multi-branch RBAC on the shared Nx + NestJS foundation.

06 — WHAT COMES NEXT

A roadmap expressed as capabilities, not speculative promises.

The platform runs real pools today; the roadmap deepens deck operations and member-facing self-service.

NOW

Now

Timed sessions, live Pool Deck, membership countdowns, finance and automation in production.

NEXT

Next

Member self-service — personal QR check-in, renewal reminders and booking lessons from the phone.

LATER

Later

Multi-pool chains with shared passes, lane scheduling and occupancy-based capacity rules.

NEXT PROJECT

Build the next system with AryaStack.

If your product problem is still messy, that is a good starting point. We help turn ambiguity into a system teams can ship and evolve.
